  • Overview

    Under the general supervision of the Practice Manager, is responsible for representing the office in a professional, friendly, repetitive and respectful manner while facilitating the patient’s care through multiple channels. While assisting with patient care functions, will be under the general direction of either the Provider or licensed nurse with authority to delegate. Will treat patients in a respectful, confidential and family-friendly manner.


    This is a full-time position in Wolfeboro Women's Health and Wolfeboro General Surgery.


    Education: Medical background such as an MA, LNA, EMT, or other comparable background. Secretarial training to include typing, word processing, and computer skills required


    Experience: Two years in a medical office preferred. Knowledge of medical terminology and excellent interpersonal communication and computer skills. Must be detail-oriented and have the ability to multitask and shift functions within the office


    Licensure: May have licenses and certifications related to clinical training such as a NH LNA, CMA or RMA form an accredited program, or EMT. BLS required. Required to register with the NH Board of Medical Technicians if a Medical Assistant


    Office Functions

    • Able to answer basic billing inquiries and directs patients to the appropriate staff to address problems or establish payment plans
    • Simple Banking Skills – collecting money for services rendered and providing receipts
    • Maintains office machinery, placing service calls as needed
    • Maintains a clean/safe office environment particularly the patient common areas
    • Keeps the office neat, clean, organized, and free from clutter
    • Shuts down the office equipment and lock and secures administrative areas at the end of the day
    • Ensures access to medical records is restricted only to those employees with authorized access
    • Assists the billing department with research and problem solving. Performs data entry of charges, payments, and adjustments as needed
    • Types/prepares correspondences as requested
    • Answers telephone promptly and politely, identifying both the office and the person speaking
    • Takes accurate and concise messages and directs calls to the appropriate staff as necessary while making the caller feel welcomed

    Patient Access Functions

    • Able to assess patients’ needs when appointments are requested, understanding the nature and length of the various appointment types to schedule patients effectively and efficiently
    • Confirms appointments with patients in a timely manner
    • Accurately utilizes computerized appointment scheduling software
    • Acknowledges appointments daily to ensure accurate recording of the patient visit
    • Greets and registers arriving patients promptly and friendly, assisting them with completion of forms as needed
    • Verifies/updates patient information including demographics and health insurance at each visit and changes pertinent information in the computer
    • Ensures all patients and visitors are accounted for in the case of an emergency
    • Established and maintains patient medical records folders with appropriate documentation
    • Prepares records for the appointments, including preparation of the encounter/billing forms, ensure the record has a new progress note available for entries and copies of most recent tests have been obtained and are available for the provider
    • Ensures all provider dictation or letters are copied, distributes, and filed in a timely manner
    • Processes medical record requests as necessary in a timely manner
    • Maintains forms such as release of information, workman’s compensation, return to work for easy access. Assist the patient to complete these as needed

    Clinical Direct Functions

    • Documents patient’s vital signs, including blood pressure, temperature, height and weight, visual acuity, and immunization history as appropriate to the appointment type and within EMR guidelines
    • Documents patient's chief complaint, medical history, and completes pertinent forms
    • Prepares/instructs/positions and drapes the patient
    • Performs phlebotomy and venipuncture
    • Performs EKGs, PFTs, rapid strep, pregnancy tests, and other tests that may be ordered by the provider
    • Assists in minor procedures such as pap smears, suturing, dressing changes, catheterizations, and casting. Practices aseptic and sterile techniques as needed
    • Prepares and administers medications as directed by a provider and in accordance with license
    • Provides the patient with educational materials as requested by the provider. Instructs patients about medications, diet, and exercise

    Clinical Support Functions

    • Prepares the examination room with needed supplies, instruments, and equipment and maintains room in a clean manner
    • Greets patients in a professional, friendly manner, escorting them to exam rooms
    • Accepts and returns patient calls under the supervision of the nurse or provider, using appropriate telephone etiquette
    • Ensures the provider is on schedule, being mindful of emergencies and unexpected interruptions
    • Prepares specimens and documentation for processing or transportation to processing facility
    • Cares, cleans, and sterilizes equipment per instructions or established procedures
    • Orders medical supplies and medications/immunizations as needed and keeps exam rooms and bathrooms stocked
    • Keeps drug closets clean and organized while ensuring all medications are current and disposes expired medications or sample medications per pharmacy procedures
    • Disposes of used supplies properly and follows all established infection control and biohazard policies and procedures
    • Calls orders to pharmacies for medications under the direction and supervision of the provider
    • Schedules appointments and/or completes orders, procedures, tests, and consultations with other providers as requested by the provider. Must be able to assess patient needs when appointments are requested, understanding the nature and length of the various appointment types to effectively schedule patients with the providers in the office
    • Completes and processes HMO referrals, pre-certifications or pre-approvals as needed
    • Answers the telephone, files, and retrieves records as needed
    • Confirms appointment with patients in a timely manner in an effort to reduce no show rates at the office
