  • Overview

    Under the general direction of the Practice Office Manager, is continuously responsible for representing the office in a professional, friendly, receptive and respectful manner.  Facilitates the patient’s care through all business office functions.   


    Education: High school diploma.  Secretarial training to include typing, word processing and computer skills is preferred.


    Experience: Two years in the medical office is preferred.  Knowledge of medical terminology and good interpersonal skills required. Excellent interpersonal communication skills, computer skills and have the ability to be very detail-oriented.


    1. Answers telephone promptly and politely identifying both the office and the person speaking.  Take accurate and concise messages and directs calls to the appropriate staff as necessary.  Ensures the answering machine is accurately programmed when the office is closed.
    2. Scheduling:
      a) Able to assess patients needs when appointments are requested understanding the nature and length of the various appointment types to effectively schedule the patient’s effectively and efficiently.
      b) Confirms appointments with patients in a timely manner.
      c) Accurately utilizes computerized appointment scheduling software.
      d) Acknowledges appointments daily to ensure accurate recording of the patient visit.
    3. Greet and register arriving patients promptly and friendly, assisting them with completion of forms as needed. Verify/update patient information including demographics and health insurance at each visit and changing pertinent information in the computer.
    4. Ensure that all patients and visitors are accounted for in the case of an emergency.
    5. Establish and maintain patient medical records folders with appropriate documentation.
    6. Prepares records for the appointments, including preparation of the encounter/billing forms, ensuring the record has a new progress note available for entries and copies of most recent tests have been obtained and are available for the provider. 
    7. Ensures all provider dictation or letters are copied, distributed and filed in a timely manner.
    8. Processes medical record requests as necessary in a timely manner.
    9. Maintains forms such as release of information, workman’s compensation, return to work for easy access.  Assist the patient to complete these as needed.
    10. Simple Banking – collecting money for services rendered and providing receipts. 
    11. Able to answer basic billing inquiries and directs patients to the appropriate staff to address problems or establish payment plans.
    12. Able to assist in scheduling tests, treatments, appointments in other facilities at the direction of the provider. 
    13. Manage out going and incoming mail
    14. Maintain office machinery, placing service calls as needed. 
    15. Maintains a clean/safe office environment particularly the patient common areas.  Keeps the office neat, clean, organized and free from clutter.
    16. Shut down the office equipment and lock and secure administrative areas at the end of day.
    17. Ensures access to medical records is restricted only to those employees with authorized access.
